📜 Terms and Conditions:

1. ❌ No Cancellation After Signing the Deal

Once the agreement is signed and the service has been initiated, no cancellation or Advance refund requests will be entertained unless otherwise specified in these terms. The deal will be considered binding until the agreed-upon 14 working days period has passed.

2. ⚠ Early Cancellation Penalty

In the event that you wish to cancel the agreement before the 14 working days have passed, you will be required to pay a non-refundable cancellation penalty of PKR 250,000 next time, there will be no future services 

3. ⏳ Wait Period Without Penalty

If you decide to allow the full 14 working days to pass without cancellation, you will be entitled to a full refund (excluding non-refundable costs already incurred) and the immediate return of any documentation or account details, without penalty.

4. 🚫 No Future Support After Cancellation

Once the agreement has been canceled, regardless of whether it is done voluntarily or due to failure to meet terms, our team will not provide any further support related to the visa appointment, documentation, or any other service under this agreement.

5. 📋 Change of Personal Information

It is your responsibility to provide accurate and up-to-date information when signing the agreement. Any changes made to your personal information after the signing of the agreement (e.g., passport details, email, phone number) may result in additional fees and delays in service. You must notify us of any changes immediately to prevent disruption in service.

6. 📑 Responsibility for Documentation

You are solely responsible for the timely submission of all required documents for your visa appointment. Any delays, missing documents, or incorrect information may result in delays, cancellations, or rejection of the appointment. If any additional costs arise due to incomplete or incorrect documentation, you will be responsible for covering these costs.

7. 🤝 Client Conduct

We are committed to providing a professional, respectful, and efficient service experience for all clients, and we ask for your cooperation in upholding these standards. By engaging with our services, you agree to communicate with our team in a timely, courteous, and professional manner. This includes promptly providing all required documentation, responding to messages or requests for information, and adhering to any deadlines or instructions relevant to your visa appointment process.

We expect all clients to treat our staff with respect and dignity at all times. Any form of rude, offensive, aggressive, threatening, or inappropriate behavior—whether verbal, written, or implied—will not be tolerated under any circumstances. In such cases, we reserve the right to immediately suspend or terminate your service without further notice.

Our team is here to support you, and maintaining a constructive, respectful dialogue is essential to ensuring a smooth and successful experience for everyone involved. Should you have any concerns, we encourage open and polite communication so we can address your needs appropriately.

8. 🔒 Privacy and Data Protection

At Zara Fatima & Co, we take your privacy and the protection of your personal data very seriously. We are fully committed to safeguarding any personal and sensitive information you provide in connection with your visa appointment. All data you submit—including, but not limited to, your name, contact information, passport details, CNIC, supporting documents, and any other identification materials—is collected, stored, and processed solely for the purpose of scheduling and facilitating your visa appointment.

We strictly adhere to data protection principles and ensure that your information is never shared with any third party, agency, or organization, unless it is absolutely necessary for the visa processing procedure or legally required by authorized government institutions. All communications, including any data you submit through chat or document upload, are secured using industry-standard encryption and robust cybersecurity protocols.

To further ensure your privacy, we implement a data retention policy that minimizes risk and exposure. Within 24 hours of your visa appointment being successfully booked and payment being completed, all of your personal data is automatically and permanently deleted from our system. This includes your passport photo, CNIC, any additional documents you may have submitted, and the entire chat history associated with your appointment. The only information retained is your Client ID and a brief identification note, which may be used internally for audit purposes or to assist with follow-up support, if necessary.

Please note that while we make every effort to protect your data using advanced security measures, we cannot be held responsible for any unauthorized access resulting from events beyond our control, such as internet service disruptions, system intrusions, or actions taken by third-party platforms outside our infrastructure.

Your trust is important to us, and we are dedicated to maintaining transparency and accountability in how we manage your data. If you have any questions or concerns about your privacy, please don’t hesitate to contact our support team.

9. ⚖ Legal Disputes and Jurisdiction

Any legal disputes or claims arising from this agreement will be governed by the laws of Pakistan. Both parties agree that any dispute will be settled exclusively under the jurisdiction of Pakistani courts. By agreeing to these terms, you consent to resolve any disputes through legal proceedings within Pakistan.

10. 💼 Service Availability

All services are subject to availability. We reserve the right to refuse service or cancel appointments in the event of circumstances beyond our control, such as changes in embassy regulations, political unrest, or natural disasters. In such cases, we will issue a full refund for services that cannot be completed.

11. 🕒 Timelines and Delays

While we strive to ensure timely service delivery, factors beyond our control (such as embassy processing delays, technical issues, or documentation errors) may cause delays. We will keep you informed of any such delays, but we are not liable for any damages resulting from these delays.

12. 💳 Payment Terms

Full payment for services is required after appointment booking and verification through login. Payment must be made through the agreed-upon methods. Email Login will be only provided once payment is successfully received. If payment is not made within the specified time frame, the agreement may be considered void, and no services will be provided.

13. 📞 Communication Protocol

For the smooth processing of your request, all communication must be conducted through the official channels outlined in the agreement (such as email or phone). Any informal or unofficial communication (e.g., social media platforms or personal phone calls) will not be considered valid for any purposes related to this agreement.

14. 🛠️ Force Majeure

We are not responsible for any failure or delay in providing services due to force majeure events, which include but are not limited to: natural disasters, terrorist acts, wars, pandemics, governmental restrictions, or any other events beyond our control that prevent the fulfillment of this agreement.

15. 📅 Schedule Changes

In the event that there is a need to reschedule your visa appointment due to unforeseen circumstances, we will make every effort to accommodate the new appointment date. However, any rescheduling requests are subject to availability, and additional fees may be applicable if the change results in extra administrative costs.

16. 🔄 Modification of Terms

We reserve the right to modify these terms and conditions at any time. In the event of any changes, you will be notified via email or other communication channels, and the updated terms will be considered binding once communicated to you.

17. 📝 Client Acknowledgment

By signing this agreement, you acknowledge that you have read and fully understood all the terms and conditions outlined herein. You agree to abide by these terms and understand that failure to comply with any provision may result in the cancellation of your service and a penalty fee as outlined.

Additionally, you understand that your Intiana account will be deleted after you apply for booking. Once the booking is completed, we will provide you with your Intiana login details, including Email login and password, to access the system. After your payment has been processed, we will also share the necessary login credentials with you.

18. 💼 External Factors Affecting Service

We cannot be held responsible for delays or failures in services that arise due to external factors, such as changes in embassy policies, changes in visa requirements, or any delays caused by government authorities. In such cases, we will work closely with you to resolve any issues, but we cannot guarantee a specific outcome or timeline.

19. 🌍 Visa Appointment and Embassy Availability

While we will make every effort to secure your visa appointment within the expected timeframe, availability is subject to the policies and schedules of the relevant embassy or consulate. We do not guarantee specific appointment dates and will not be liable for any changes made by the embassy.

20. 🔍 Review and Approval Process

You are encouraged to review all documents submitted before finalizing the appointment. Any errors or discrepancies identified in the documents after submission may result in delays or the need for resubmission. It is your responsibility to ensure all details are accurate before submitting the final application.

The advance payment serves as a security deposit to ensure quality service and a smooth experience between the client and service provider.

  • 🔔 Please Note:
    No advance payment is required for individual applicants or students. Advance payments are only applicable to agents or third-party representatives acting on behalf of others. If you are booking for yourself or as a student, you are not required to make any upfront payment.

    This policy is in place to ensure transparency and protect genuine applicants from unnecessary financial obligations.

    Advance Amounts (Only For Agents/third party):

    • Work-related process: PKR 50,000

    • Study-related process: PKR  30,000

  • The advance payment is refundable only under the following conditions:

    1. The appointment has not yet been booked, or

    2. 14 days have passed since the client ID was generated without initiating the process.

  • Once either of the above conditions is met, the refund process can be initiated.


📩 Agreement Confirmation:

By replying with AGREE, you are acknowledging and accepting the terms and conditions stated above. Your response will be considered a binding agreement and you will be legally bound by the terms outlined here.

If you do not agree with the terms, you must reply with REJECT.
